Under the overall supervision of the Sub-Regional Director for Southern Africa and the direct supervision of the Sub-Regional Health Assessment Programme (HAP) Coordinator and in close cooperation and liaison with the Regional MH Data Reporting Officer and Migration Health Informatics (MHI) team based in Manila, the Migration Health Data Reporting Officer (Health Assessment Programmes) will be responsible for the carrying out the following duties and responsibilities in relation to the Migration Health Assessment Centre (MHAC) in Pretoria, South Africa.
Responsibilities
Organize and manage a comprehensive data collection, analysis, and reporting system for all Migration Health Assessments-related operations in Pretoria:
Supporting the regulation and standardization of data entry software applications and protocols across the Region.
Performing and reporting the regular analysis of key performance indicators, and various reports in the reporting tools (including but not limited to, Migrant Management
Operational. System Application (MiMOSA), Power BI, Laboratory Information Management Systems (LIMS), Project Information and Management System (PIMS), Information and Management System (IMS), Telerad, Global Incident Reporting System (GIRS), etc.) pertaining to migrant flow, quality and risk management, service efficiency, and client satisfaction – including active monitoring of trends.
Creating evidence-based suggestions based on aggregated medical data for required actions in regional migration health policy.
Participating in the development and update quality control mechanisms and reporting systems for the migration health assessment programmes (HAP) in Pretoria and the Sub-Region.
Suggesting improvements to strengthen internal control mechanisms; providing inputs for new procedures to complement and/or adapting existing instructions to achieve streamlining efficiencies.
Contributing to the planning and monitoring of health assessment operations in Pretoria and the Sub-Region. This may include assisting in planning and coordinating activities with IOM Operations and field staff, counterparts, as well as IOM and non-IOM panel physicians.
Ensuring the preparation and submission of monthly statistics on Health Assessments performed by IOM MHD in Pretoria and the Sub-Region.
Providing data processing support to the MHD as needs arise.
Supporting data cleaning activities to ensure reliable information from the various MHD datasets.
Reviewing regularly MHD forms to ensure adequate and correct information is recorded to generate useful data-based information.
Coordinate and provide guidance to the Data Team and train the Migration Health Data Processing staff in Pretoria and the Sub-Region as needed:
Organizing the Migration Health Data Processing Assistants Roster;
Assigning various duties in the Data unit, as well as actively participating in day-to-day scheduling;
Developing standard entry on duty training and refresher training as necessary for migration health processing staff; and,
Performing the Staff Evaluation System for the staff directly managed by the incumbent and provide SES recommendations on particular staff to other managers.
Participate in the development and updating of MHD Standard Operating Procedures (SOP’s) in relation to data management and reporting.
Monitor and update MHD information on the respective country MHD Websites in the Region.
Monitor and follow up on purchase request forms from the Data Unit for procurement of equipment and working materials for MHD.
Perform such other duties as may be assigned.
Qualifications
Required Qualifications and Experience
Education
Master’s degree in Statistics or a related field from an accredited academic institution with two years of relevant professional experience; or,
University degree in the above field with four years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
Experience in data management;
Experience in supervising staff in a customer service, IT or administrative environment;
Certificate in IT/Data entry is an advantage; and,
Previous working experience with NGOs or international organizations is an added advantage.
Skills
High computer literacy in Windows and MS Office is mandatory, knowledge of web page design would be an asset;
In-depth use of MS Office applications, data collection and manipulation; and,
Knowledge of medical terminology, as well as previous secretarial and archival experience, an added advantage.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM’s official languages (English, French, Spanish).
For this position, fluency in English is required (oral and written).
Working knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) is an advantage.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
