Introduction

The purpose of this TOR is to request a financial proposal for the provision of KRA tax ledger reconciliation services.

With primary funding from sponsors and from government, corporate and individual donors, we work long-term in communities to help them transform themselves into places where children have what they need to live at their potential throughout their lives: access to health care, nutrition, learning opportunities, safety and caregivers equipped to ensure these essentials are in place.

Background:

ChildFund Kenya is seeking a qualified agent to reconcile its KRA ITAX ledger entries. This involves ensuring accuracy and alignment between the legacy system entries and the iTax system entries. This reconciliation is essential for maintaining compliance with Kenyan tax regulations.

Objectives:

1. To reconcile the ChildFund Kenya KRA ledger.
2. To identify and correct any discrepancies or errors in the KRA ledger.
3. Working with KRA officials, to propose and implement necessary amendments to the KRA ledger to ensure accuracy and compliance.

Scope of Services:

Data Collection and Analysis:

• Gather relevant data from the ChildFund Kenya KRA Legacy and iTax ledger entries.
• Analyze the data to identify discrepancies, errors, or inconsistencies.

Ledger Reconciliation:

• Compare and reconcile the two ledgers, ensuring that entries align and balance.
• Identify and document any discrepancies or errors.

Error Correction and Amendments:

• Propose and implement necessary corrections or amendments to the CFK KRA ledger.

Deliverables:

A fully reconciled KRA ledger report, reflecting all approved corrections and amendments to eliminate discrepancies and ensure alignment between the legacy system and the iTax system. This will address any long-standing issues related to contentious amounts between ChildFund and KRA.

The vendor will provide verifiable documentation supporting all final to be reviewed and approved by the designated ChildFund technical lead as evidence of satisfactory completion of the assignment and shall form part of the supporting documentation required for payment processing.

Qualifications and Experience:

The consultant should have the following qualifications and experience:

• Strong knowledge of the KRA system.
• Evidence of relevant experience and client testimonials from similar assignments.
• Be an approved KRA Agent of good standing.

Data Protection and Confidentiality

The consultant/service provider shall comply with all applicable data protection and privacy laws, regulations, and ChildFund policies relating to the collection, access, use, processing, storage, retention, and disclosure of personal data obtained or handled during the assignment.
