Job Summary
The Logistics Assistant provides administrative and operational, and driving support within Feed the Children’s logistics, warehouse, and transportation department. This role involves the following tasks: coordinating receipt and shipment of goods from the warehouse/factory, managing inventory, processing supply requests from the field, and maintaining records.
In addition, the Logistics Assistant is responsible for driving trucks and other vehicles to transport goods, materials, and staff to designated locations, ensuring safe, timely, and efficient delivery in line with organizational policies. The position plays a key role in ensuring the smooth flow of goods, services and personnel within the supply chain.
Principal Responsibilities
- Shipment Coordination & Scheduling: Monitor and coordinate incoming and outgoing goods from the warehouse to the field, plan delivery routes, schedule pickups/deliveries, and track goods to ensure on-time, cost-effective transit of products.
- Warehouse Support & Inventory Management: Assist with loading and unloading trucks, sorting and stocking goods, and conducting inventory checks to maintain accurate stock levels.
- Documentation & Record-Keeping: Prepare and review shipping documents (delivering notes, packing lists, etc.), maintain detailed records of shipments of goods, and perform data entry to keep inventory and logistics information up-to-date.
- Communication & Issue Resolution: Liaise with program staff, partners, and beneficiaries to arrange shipments or returns, resolve any issues or delays in delivery, and ensure clear communication across departments (e.g., warehouse, program team and admin) for smooth operations.
- Compliance & Safety: Ensure all logistics activities comply with relevant laws, regulations, and safety standards (for example, verifying driver qualifications and adhering to transportation regulations), while maintaining an organized and safe warehouse environment.
- Drive trucks and other vehicles: Facilitate the safe and timely delivery of goods, materials, and services to field locations, optimize routes for efficiency and maintain compliance with traffic laws and organizational safety standards. Conduct routine vehicle inspections, record mileage, update delivery status, and promptly report any incidents. Accountable for vehicle cleanliness and monitor license and certifications and adhere to transport Standard Operating Procedures (SOPs).
Qualifications and Requirements
Qualifications
- Malawi Secondary School Certificate of Education (MSCE).
- Valid Malawi Professional Driver’s License (Class CE with goods category – or equivalent) with clean record.
- A certificate in Logistics or Supply Chain Management from a recognized institution is an added advantage.
- Basic knowledge of vehicle mechanics and basic mechanical skills, certified by a recognized institution is an added advantage.
- First Aid certification from a recognized institution.
Experience
- 5+ years’ driving experience, including extensive operation of trucks on Malawi’s rural road terrains (e.g., unpaved, seasonal roads).
- Proven experience in logistics coordination, inventory management working with NGOs or humanitarian organizations in Malawi preferred.
- Experience in health and safety regulations for handling and transporting items for human consumption
Skills and Attributes
- Fluent in English and proficient in Chichewa for community engagement.
- Competence in basic computer applications (e.g., MS Office, inventory systems) for reports and schedules using standard software.
- In-depth knowledge of logistics, inventory processes, Malawi road networks (especially rural terrains), and transport regulations.
- Physically able to lift goods safely while adhering to Malawi OHS standards.
- Knowledge of Malawi OHS regulations preferred.
- Equipped with excellent interpersonal and cross-cultural communication skills, enabling effective engagement with varied communities across Malawi.
- Strong commitment to children’s rights and the inclusion of persons with disabilities, with a solid understanding of Malawi’s child protection policies
- Resilient and adaptable to challenging environments (e.g., rural roads, seasonal access issues) and adaptability to rural and urban environments.
