Business Development and Grants Coordinator (Open Somali Nationals ONLY) Full Time NEW

Action Against Hunger-USA has approximately 1,800 permanent staff based in New York City, Washington D.C, Nairobi, and country offices. Additional growth is anticipated.

SUMMARY OF POSITION

The Business Development and Grants Coordinator (BDGC) will support the overall program portfolio growth of the Somalia Mission through contributing in new business development, BD data management and Grants compliance. The ADBD will work under the supervision of the Associate Director Business Development (ADBD) with the support of Action Against Hunger’s Somalia technical, financial, and cross-functional teams. The position requires a strong sense of teamwork, flexibility and genuine interest in trying out new funding streams.

PURPOSE

Business Development & Grant Acquisition: Contribute to development of innovative ways to grow revenue, support development of technical and financial costing proposals

BD data management: Ensure up to date and accurate BD data is available in all the online repositories: No Hunger Folder, Airtable among others

Donor Compliance Assurance: In partnership with the ADBD ensure donor guidelines and regulations are strictly followed in line with Action Against Hunger standards and procedures.

ESSENTIAL JOB FUNCTIONS

a) New Business development

• Draft funding opportunity summary for new calls for application and circulate widely to generate initial discussions on the Go/No Go decision.
• In partnership with the Associate Director Business Development (ADBD), Coordinate collaborative, data-driven Go/No-Go (bid review forms) decisions, undertake pre-proposal activities including analyzing the funding opportunity; gathering intel on the donor and other actors; contributing to the development of complementary needs assessment when needed
• Develop a proposal development plan ensuring that all necessary activities are clearly defined, assigned, and completed to the necessary timescales, communicating progress to all staff and implementing partners involved in producing the proposals and escalating bottlenecks to relevant decision makers.
• In partnership with the ADBD, facilitate post-submission follow-up processes and carry out learning and feedback exercises after submission and in-depth review of unsuccessful proposals to identify reasons and any lessons learned. Document, share and develop plans to address identified weaknesses.
• Prepare and update proposal trackers, funding-gap dashboards, implementation area tracker and any relevant tracker and dash board that is required for Business Development;

b) BD Data management

• Maintain accurate and updated BD data and reports to meet the CO, HEARO and HQ reporting needs such as the airtable
• In partnership with ADBD, keep the mission-funding tracker updated and regularly share information and charts with country office SMT members and regional office grants team.
• Share all relevant documentation (grant proposals, reports, budget, etc.) to all staff related to their specific grants.
• Lead the BD info archiving- keep an updated inventory of all communications related to programs/donors
• Ensure information management and timely electronic filing of all proposal documents and reports on the SharePoint No Hunger Forum.

c) Grants and compliance:

• Lead project cycle management meetings (e.g. kick off, reviews and closeout meetings), as well as monthly/regular grants management meetings which include representation from each unit (finance, programs, logistics) and ensure proper follow up of issues raised.
• Ensure the implementation teams are abreast with and adhere to key contractual and compliance clauses during project delivery and reporting
• Research donor guidelines and compliance issues for new opportunities or existing grants, as needed, within the assigned portfolio of Action Against Hunger Somalia
• Review donor agreements and coordinate their review with the relevant Action Against Hunger regional or network offices
• Support the ADBD in facilitating donor modifications (both programmatic and financial changes).
• In partnership with the Partnership and Reporting Coordinator, facilitate report writing trainings, including prior preparations for key reporting outputs in order to meet quality expectations from the relevant stakeholders.

PHYSICAL DEMANDS

• While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within short timeline under stressful situations in the context of a moderately noisy office with many interruptions. Must be able to proofread own work accurately so that only minor corrections are needed on an infrequent basis.

WORKING CONDITIONS, TRAVEL AND ENVIRONMENT

• The duties of the job require regular job attendance at least five days per week. Employee must be available to work outside normal office hours, or on the weekends, as required by contact with the missions, mission security, or other obligations to meet deadlines.
• The duties of the job require to travel with frequent travels around Somalia and the region. While visiting the field, the employee may be exposed to precarious settings under high security risks and/or very basic living conditions and outside weather conditions, as well as to infectious diseases.

Requirements

REQUIRED QUALIFICATIONS AND PROFESSIONAL EXPERIENCE

• A minimum of a bachelor’s degree in International development, Humanitarian assistance, Project Management, Social sciences or any other relevant field.
• A Somali national with good understanding of the Somali context
• Minimum of 7 years of demonstrable experience in grant portfolio management, fundraising, external engagement/networking.
• Experience raising and managing funds for Somalia will be added advantage
• Experience working with diverse donors i.e., SIDA, WFP, UNICEF, OCHA, GFFO, USAID, ECHO and GAC
• Demonstrable experience of proposal development and compliance
• Experience with budgeting and costing processes
• Good writing skills
