Kaleta Privacy Policy

This policy explains what personal data Kaleta collects, why, who sees it and what your rights are. It works together with the Kaleta Terms and Conditions, uses the same definitions, and is the privacy policy that clause 12 of the Terms refers to.

1. Who we are

1.1 Kaleta (“Kaleta“, “we“, “us“) runs the kaleta.co job and career platform. Our head office is at House 8 Adumuah Bossman Street, Asylum Down, Accra, Ghana. We also have a strategic hub in Madison, United States.

1.2 Kaleta is the data controller for the personal data described in this policy. This means we decide why and how your data is used.

2. Scope and link with the Terms

2.1 This policy applies to everyone who uses the Kaleta websites, emails and services (the “Platform“): job seekers (“Candidates“), employers and recruiters (“Employers“), and visitors.

2.2 Words such as Member, Candidate, Employer, Content and Paid Services have the meaning given in the Kaleta Terms and Conditions. If this policy and the Terms deal with the same point, this policy governs how personal data is handled.

2.3 When an Employer uses Candidate data it received through Kaleta, the Employer is responsible for that use. Employers must follow clause 5 of the Terms and use Candidate data only for recruitment.

3. Personal data we collect

3.1 Data you give us

  • Account data: name, email address, phone number, password (stored in encrypted form), country and city.
  • Candidate profile and CV: work history, education, skills, languages, certifications, photo if you add one, job preferences, desired locations and any document you upload.
  • Employer data: company name, contact person, job title, business email and phone, company details and job posts.
  • Applications: the jobs you apply to, your cover letters and the answers you give to employer questions.
  • Paid Services: the plan or service you buy (for example Premium, Candidate Pro, CV review, coaching, job packages or recruiter subscriptions), amount, date and payment reference.
  • Messages: what you write to our support team, coaches or CV reviewers, and your survey or feedback answers.

3.2 Data collected automatically

  • Technical data: IP address, browser and device type, pages visited, dates and times of visits, and security logs.
  • Email data: whether our emails are delivered and opened and which links are clicked.
  • Cookies, as explained in section 8.

3.3 Data from others

  • An Employer may share feedback on your application.
  • A payment provider confirms whether your payment succeeded.
  • If you sign in or sign up through a third-party service (such as Google or LinkedIn), we receive the basic profile data that service shares with your permission.

3.4 Sensitive data. We do not ask for data about health, religion, ethnic origin, political opinions or criminal records. Please do not put it in your CV or profile unless an Employer’s job clearly requires it and you choose to share it.

4.1 We do not sell your personal data.

4.2 No automated hiring decisions. Our matching tools and the AI CV optimizer make suggestions only. Kaleta does not decide whether you get a job; Employers make hiring decisions (see clause 8 of the Terms).

5. Who can see your data

5.1 When you apply for a job, the Employer who posted it receives your application, CV and the answers you give.

5.2 Your Candidate profile and CV can be found by Employers who have access to the Kaleta CV database or a recruiter subscription, only if your profile is set to visible. You can hide your profile at any time in your account settings. Your email and phone number are shown only to Employers with access, never to the public.

5.3 Job posts and company information that Employers publish are public.

5.4 Coaches and CV reviewers see the documents and information you share with them for the service you booked.

5.5 Employers’ duties. Under clause 5 of the Terms, Employers must use Candidate data only to recruit, keep it secure, not share or sell it, and never ask Candidates for money. Report any misuse to contact@kaleta.co.

6. Service providers

6.1 We use trusted providers that process data for us, on our instructions and under contract:

  • Hosting: our servers are hosted by Hetzner Online in the European Union;
  • Security and speed: Cloudflare protects the Platform and delivers it faster;
  • Payments: mobile money operators, card payment processors and banks. Card details are handled by the payment processor; Kaleta does not store your full card number;
  • Emails: our email and newsletter sending services;
  • AI CV optimizer: your CV is processed to suggest improvements. The CV you submit is used to give you those suggestions;
  • Coaches and CV reviewers who work with Kaleta;
  • Professional advisers such as accountants and lawyers, when needed.

6.2 We may also share data when the law requires it, to protect people from fraud or harm, or if Kaleta is reorganised or sold (in that case, this policy continues to protect your data).

7. International transfers

7.1 Kaleta serves Candidates and Employers across Africa and beyond. Your data may be stored or accessed outside your country, in particular in the European Union (hosting), in the United States (our Madison hub and some providers) and in the country of the Employer you apply to.

7.2 When we transfer data, we make sure it stays protected, through contracts with our providers and security measures that meet the standards of the Data Protection Act, 2012 (Act 843) and, for users in the European Union, the GDPR.

8. Cookies

8.1 Cookies are small files saved in your browser. We use:

  • Essential cookies to keep you logged in, remember your settings and protect the Platform against attacks. The Platform does not work without them;
  • Analytics cookies to count visits and understand which pages are useful, so we can improve Kaleta.

8.2 You can refuse or delete cookies in your browser settings. If you block essential cookies, some features (such as logging in) will not work.

9. Emails and messages

9.1 Service messages (account, security, payments, applications, important notices such as a service incident) are part of the service. You receive them as long as you have an account.

9.2 News, tips and offers (newsletters, job alerts, career content, events) are optional. Every one of these emails has an unsubscribe link, and you can also change your choices in your profile or by writing to contact@kaleta.co.

9.3 When you unsubscribe, we keep your email address on a do-not-contact list so that we respect your choice.

10. How long we keep data

When you delete your account, we delete or anonymise your data within 30 days, except what we must keep by law. Employers who already received your application are responsible for the copy they hold.

11. Security, backups and incidents

11.1 We protect your data with encrypted connections (HTTPS), encrypted passwords, a firewall and web protection, access limited to staff who need it, and regular backups.

11.2 No system is 100% secure. If a security incident or data loss affects your personal data, we will inform the Data Protection Commission of Ghana and the people affected as soon as possible, as required by the Data Protection Act, 2012 (Act 843). We will explain what happened, what data is involved and what you can do.

11.3 Protect your account too: use a strong password, do not share it, and tell us at once if you suspect misuse. Kaleta will never ask for your password.

12. Your rights

12.1 You can at any time:

  • access your data and get a copy;
  • correct data that is wrong or incomplete (most of it directly in your profile);
  • delete your account and data;
  • object to marketing, and to other uses based on our legitimate interest;
  • withdraw your consent where we rely on it, without affecting what was done before;
  • if you are in the European Union, also ask to restrict use of your data or receive it in a reusable format.

12.2 To use these rights, write to contact@kaleta.co with the subject “Privacy”. We may ask you to confirm your identity. We reply within 30 days, free of charge.

12.3 If you are not satisfied, you can complain to the Data Protection Commission of Ghana (dataprotection.org.gh) or, in the European Union, to your local data protection authority. We would welcome the chance to solve the problem with you first.

13. Age

Kaleta is for people aged 18 and over (clause 3 of the Terms). We do not knowingly collect data from children. If you think a child has created an account, tell us and we will delete it.

14. Changes to this policy

We may update this policy. For important changes, we will inform Members by email or on the Platform at least 15 days before they take effect, as for the Terms. The date at the top shows the latest version.

15. Language and law

This policy is available in English and French. If the two versions differ, the English version prevails. It is governed by the laws of Ghana, including the Data Protection Act, 2012 (Act 843), and disputes are handled as set out in clause 19 of the Terms.
