Position Overview
ACTED is currently looking for a Senior Finance Officer to provide temporary maternity cover for the current Senior Finance Officer in the Kenya mission.
The Senior Finance Officer will support the effective management of the mission’s financial and accounting processes, ensuring that transactions are processed accurately and on time and in accordance with ACTED procedures and applicable requirements.
The position will have a strong focus on accounting, payments, cash-flow management, financial documentation, reconciliations, project cost control and financial reporting.
This is an urgent replacement and the selected candidate will be expected to take up the position as soon as possible.
Duties and Responsibilities:

Accounting and Financial Management
- Prepare and consolidate accurate and timely accounting entries for the Nairobi office and support consolidation of accounting information from field bases.
- Prepare and review cash and bank book entries in accordance with ACTED accounting procedures.
- Ensure accurate accounting codes and project allocations across financial transactions.
- Support monthly and annual accounting closures and related financial reconciliations.
- Prepare and follow up on advances, loans and other outstanding financial balances.
2. Payments and Cash Management
- Coordinate and execute payments in accordance with ACTED procedures and approval requirements.
- Review payment documentation and ensure that payments are supported by complete and appropriate documentation.
- Support the preparation of weekly and monthly cash forecasts and cash requests.
- Coordinate with relevant departments and field bases on cash requirements.
- Ensure timely processing of statutory payments and other financial obligations.
3. Financial Documentation and Compliance
- Ensure finance vouchers and supporting documents are complete, properly approved, coded and filed.
- Follow up on the filing and digitalisation of financial documentation.
- Conduct regular checks of financial documentation and identify gaps requiring correction.
- Support the Compliance team and auditors during audits and compliance reviews.
- Ensure financial documentation is available and properly organised for audit and review purposes.
4. Financial Reporting and Cost Control
- Support the Finance Manager in preparing financial reports and project financial information.
- Monitor project expenditure and resource allocation and flag potential issues to the Finance Manager.
- Cross-check project allocations against budgets, purchase orders and supporting documentation.
- Support the preparation and follow-up of Contract Follow-Up (CFU) and Debt Follow-Up (DFU).
- Provide timely financial information to the Finance Manager and relevant project/field teams.
Other Responsibilities
- Support internal and external audits and provide required financial documentation.
- Coordinate with Finance, Logistics, Compliance, Programme and other departments on financial matters.
- Promote and adhere to ACTED’s financial procedures, Code of Conduct and PSEA/safeguarding policies.
- Perform other finance-related duties assigned by line manager.
Required Qualifications and Experience
- Bachelor’s degree in Finance, Accounting, Business Administration, Economics or a related field.
- Professional accounting qualification or progress towards CPA/ACCA is an advantage.
- At least 5 years of relevant experience in finance or accounting, preferably within an INGO, NGO or humanitarian organization.
- Good experience in accounting, payment processing, cash management and financial reporting.
- Experience with project financial management, budget monitoring and cost allocation.
- Experience reviewing financial documentation and supporting audits.
- Experience supervising or guiding junior finance staff.
- Good knowledge of accounting principles and internal financial controls.
- Good knowledge of Kenyan statutory financial and tax requirements.
- Strong skills in Microsoft Excel and other MS Office applications.
- Experience with SAGA or ACTED financial systems is an advantage.
- Strong attention to detail and ability to identify errors or inconsistencies.
- Good organisational skills and ability to work under pressure and meet tight deadlines.
- Good communication and interpersonal skills.
- High level of integrity, confidentiality and professionalism.
- Ability to work independently while coordinating effectively with other departments.
